Step 8. Assign Tasks

Task Assignment means appointing users to do tasks. You can assign a task to one user or several users. We recommend you to assign one task to one user; otherwise you need to think how to measure productivity of assigned users within the shared task.

To assign tasks

Use any of the following ways:
  • In the Task dialog box, on the Resource tab, select the check box next to required user, and then click OK.
  • On the Task List view, the Task Tree view, or the Calendar view, click the unassigned task, and then, on the Resource Assignment pane, select the check box next to required user.

Notes

On the Calendar view you can also assign tasks to users by drag-and-drop operation.
  • Click the task on the Unassigned calendar, and then drag it to required user calendar.

If you create a new task on calendar of particular user, the task gets automatically assigned to this user.


Tips

If users cannot see tasks assigned to them, log on to the database under Administrator account and make sure that assigned users have permission to see tasks in the given task group.
  • On the Task Tree tab, click the required task group, and on the Permissions pane, check if required user has required permissions.

If you want assigned user to get notification of new assignment, you should change the new task status from Draft to Created before assigning it to the user.
  • In the Task dialog box, on the General tab, click Status, click Created, and then click OK.

If users often create tasks for themselves, you can change settings to automatically assign tasks to owners.
  • On the Tools menu, click Options, and then in the Options dialog box, in the General settings, select the Assign task to owner by default check box.

When tasks are assigned to users, you can group, sort, and filter tasks by assigned users.
  • To sort tasks by assigned users, click the Assigned column header.
  • To group tasks by assigned users, drag the Assigned column header to the Group By Box.
  • To filter tasks by assigned users, click the down-pointing triangle on the right side of the Assigned column header, and then click required user.
